Print Production
The Office of Communications and Media Relations is available to assist you in producing quality publications within your budgetary means. Depending on the complexity of the project, you made need to plan for a four-to-six-week production schedule. The production process begins at the time of the consultation and submission of an approved manuscript to our office.
Here are some guidelines.
Schedule a meeting with the director of communications and the art director to discuss your project. Be sure to bring an approved copy of the text and a completed Publications Request Form, which can be downloaded from this website.
Please provide approved text copy on a CD, zip or floppy disk or in an e-mail attachment in Microsoft Word or as an ASCII file. Copy should not be formatted—no tabs, indents, bolded or italicized type or hard paragraph returns. All copy should be single spaced except in between paragraphs. Please read the Editorial Style Guide, available on this website for more guidance to editorial usage and style. If you plan to use photos, please submit either hard copies to be scanned or electronic files, either as JPEG or TIFF (preferably 300dpi or more). Our office also maintains a photo library, which is available for your use.
Two to three days after your consultation, the text will be reviewed and edited, if necessary. It will then be given to the art director, who will design the project. One week after the design process begins, you will be shown two to three design comps for review and approval. (More complex projects may take longer.) Once you have approved the design, a final comp will be prepared for your approval before the project goes to press. You must approve the project in writing before it is sent to the printer. The director of communications will solicit cost bids from at least three printers and present you with the best price. Printing usually takes at least seven to 10 working days; more complex projects may take longer.
Know the budget for your project. The budget plays an important role in determining the colors, the type of paper, etc., that will be used for the project.
Know the quantity you want to print, how the publication will be mailed (first class, third class, etc.) and if the publication will be mailed by the printer or from Polytechnic. If the printer is doing your mailing, you will be charged an additional cost.
Please be aware that a first-class mailing takes approximately a week to deliver; third class takes two to three weeks to deliver. Include the mailing time when you are preparing your project schedule.
Printed projects are delivered to our office; we review the quality before sending to you.
Media Relations
It is the policy of Polytechnic Institute of NYU that all requests for interviews from the media must be forwarded to the managing director of communications and media relations or to the vice president for development and university relations. If you are contacted by a member of the media, please notify the Office of Communications and Media Relations immediately so we can gather all the information needed for the interview, and allow time for “personal coaching” and advisement to ensure a successful interview.
The Office of Communications and Media Relations publicizes the achievements of faculty, students and noteworthy programs at NYU-Poly through a variety of communication channels: print and electronic media outlets, the World Wide Web, e-NYU-Poly Briefs, Cable, etc. The office is always seeking information about a new program, an outstanding student or a faculty achievement. Photography
The Office of Communications and Media Relations works with a number of local photographers for campus events and publications. There is no staff photographer in the office; all photography is contracted out.
If you need photographs taken for a publication or of an event, our staff can work with you to schedule a photographer. We will provide the name and telephone number of a photographer within your price range. Photography rates vary in accordance with the level of quality required, the difficulty of the shoot and the time involved. A one- to two-hour shoot of an event may start at $100 an hour. Planning is important, so please give at least two weeks notice to reserve a photographer on the date and at the time you request.
Our photography budget is limited and designated for the coverage of major University-wide events such as Commencement, and to support the ongoing, major publications of the University such as Cable and the President’s Report. Photography for other campus publications or coverage of other campus activities, as requested by individual offices and departments, is billed to the requesting department. |
