Education & Experience

•Three to five years experience in higher education •Bachelor’s degree required Experience: •Must have experience working in executive-level office with executive staff •Must be very computer literate: MS Office including Word, Outlook, Power Point, Excel, Visio, and data base management (Filemaker preferred), other software programs a plus •Excellent writing and communication skills •Must be Internet savvy •Must be detail-oriented, good at follow-through, and organized •Must be able to make decisions and take initiative •Must be able to professionally interact with internal/external constituents on all levels •Must be discreet •Must exhibit good judgment •Must have good interpersonal skills •Must be able to set priorities while recognizing that those priorities might change frequently

   
Responsibilities

•Must read and absorb high volume of material including email correspondence, memos, news articles, etc. daily in order to correctly field questions, disseminate information to proper individuals, and take action accordingly •Assist with writing and research, including online research and other projects/ duties at the request of the President, Chief of Staff, and/or Executive Assistant to the President •Anticipate and provide advance research for meetings: biographies, company information, etc. in advance of meetings for President and/or Chief of Staff •Monitor President’s Office budget on PeopleSoft •Process invoices/payment vouchers/expense reports/purchase orders/petty cash •Keep Chief of Staff’s calendar •Make occasional travel arrangements •Serve as liaison between President’s Office and Business Office and other departments •Maintain office files and Chief of Staff files •Maintain data for senior management committees •Screen and direct phone calls •Open, sort, and disseminate mail •Keep inventory and order supplies, and coordinate service of office machines as needed •Serve as back-up for Executive Assistant as needed •Provide back-up phone coverage for Finance, Marketing, and other Executive Offices •Additional projects/duties at the request of the President, Chief of Staff and/or Executive Assistant

Work Hours

  9 am - 5 pm
