Intercollegiate Sports

Every student athlete participating in intercollegiate sports at Polytechnic University is covered under a Sports Accident Insurance Policy issued to the University. This policy is designed to help absorb medical costs associated with an injury that is the direct result of an injury incurred during the supervised practice, play or travel related to an intercollegiate sport.

POLICY IS AN EXCESS POLICY

The coverage that the University provides is on an excess basis. What this simply means is should an injury occur that requires medical attention outside the Athletic Training Facility, claims must be presented to your private family insurance first. Should your private insurance not cover all the medical costs, the remaining costs will be sent to the claims administrator that handles the University’s sports accident policy. You simply need to send a copy of all itemized bills and the Explanation of Benefits (EOB) from your family insurance company, or a copy of the denial letter to the school’s administrator, listed below:

Administrative Concepts, Inc.

NCAA CATASTROPHIC COVERAGE

Polytechnic University’s athletic program is governed by the NCAA. NCAA requires all athletes to have medical coverage, as does Polytechnic University. This is to protect you, should you be injured while participating in a sport. The NCAA also provides catastrophic accident coverage for the athletes. This catastrophic coverage begins after $75,000 of medical claims has been paid on a sports related injury. The school’s policy has a $2,500 deductible, and then goes to a maximum benefit of the $75,000. As you can see, multiple policies work together to provide each athlete with an umbrella of sports accident coverage.

HMO COVERAGE

If your private family insurance is a Health Maintenance Organization (HMO), or another type of managed care plan, many of these have special pre-approval and notification requirements in order for a claim to be considered for payment. It is the athlete’s responsibility to know about these requirements and to comply with them, as may be appropriate.

STUDENTS COVERED UNDER THE SCHOOL SPONSORED INSURANCE

If you do not have family insurance, you should be enrolled in the Polytechnic Student Insurance program. This program provides coverage which meets the $2,500 deductible, and then coordinates with the Sports Accident Insurance Policy for any remaining medical costs.

All injuries sustained should be reported immediately to your school coach.

CLAIM PROVISIONS

It is standard procedure for most insurance policies, that the Carrier be notified within 30 days that an injury has been incurred. Bills should be submitted to the Carrier within 90 days from the Date of Service.

It is the athlete’s responsibility to follow-up on requests for additional information from a Carrier or claims administrator. Failure to communicate with the Carrier can ultimately cause an otherwise coverable claim to be denied. Failure to address these issues can also lead to personal credit problems.

SPORTS POLICY DOES NOT COVER

  • Injuries sustained prior to the athlete attending the University.
  • Medical expenses incurred due to a sickness or illness, unless it is a direct result of a covered injury
  • Injury not directly related to supervised and official practice, play or travel for the sport.

CLAIM FILING PROCEDURE

    • The initial injury must be assessed by a Certified Athletic Trainer, who will assist with referrals to off-campus facilities, if necessary.
    • Any medical bills incurred must first be submitted to the athlete’s primary insurance Carrier.
    • Balances remaining after family coverage has processed, or denied the claim will be considered by the University’s Sports Accident Policy.
    • If a balance remains after family insurance has processed bill, or if the claim is denied, or if the athlete has no other family insurance, file a claim against the College’s Sports Accident Policy as follows:
  • Obtain and complete a sports claim Form (available at the Athletic Training Facility)
  • Attach a copy of all itemized bills and the Explanation of Benefits (EOB) from your private insurance Carrier (or a copy of the denial letter) to the Claim Form.
  • Send the claim to Administrative Concepts, Inc.
  • Please remember that the Athletic Trainers are available to assist in the claim filing process, but, it is the athlete’s responsibility to make sure that medical bills are filed properly and in a timely fashion.
